Holiday Shopping Fair Vendor Agreement

- Vendors wishing to participate in Wilson Commons Student Activities’ Holiday Shopping Fair must pay $50 for one 6 foot table and one/two chair(s) or the equivalent of that space. Payment is due once you have been accepted into the fair.
- Upon availability, one additional six foot table may be purchased for $25 on a first come first serve basis. This will be determined after the final deadline. There is no additional charge for extra chairs.
- Additional large tables are not allowed to be brought in.
- Large display racks may be used in place of the provided table following approval from Wilson Commons Student Activities (WCSA). Limited space is available to accommodate these requests.
- Small display racks or small tables may be used in addition to the provided table, following approval from WCSA. Limited space is available to accommodate these requests.
- WCSA cannot provide overnight storage.
- The fee is only refundable for cancellations made 7 days or more before the day of the event.
- Only completed applications and payment will be accepted to secure a spot for the event.
- WCSA reserves the right to cancel any offer of acceptance if the vendor fee has not been received by the due date and the demand exists for the space, in which case the vendor will be provided notification.
- The vendor understands that they will need to have their space set-up prior to 9:45 am the day of the fair and that they are not allowed to begin to pack up their items until after 4:00pm when the fair ends.
- Sale of candles, candle warmers, incense, and tapestries are prohibited.
- All food sales must be approved by the University of Rochester Sanitarian.
- Driving vehicles up to the steps of Wilson Commons is prohibited.
- Vendors are required to use their assigned drop off and pick up zone.
- The vendor will accept full responsibility (including financial) for any costs incurred by the University as a result of his/her actions.
- There is no responsibility assumed by the University for money or losses due to fire, theft, vandalism, customer default, or personal liability.
- The vendor agrees to stay at their table and understands that the verbal solicitation of customers or other disruptive behavior is not permitted. The vendor understands that they or their clerks may be asked to leave without refund of any fees paid if any of these policies are violated.
