Standard Reservation Templates Open Tuesday (1/6) @ Noon

You are receiving this email as you are listed as an officer for an undergraduate student organization on CCC. Below is information about the next steps for Spring 2026 reservation process. 

 

Hello All, 
 

All advance reservation requests for the Spring 2026 semester have been processed, and the last few confirmations will be sent out over the next few days. Standard templates (4-day, 14-day, 30-day, and Vans) will be opening at Noon on Tuesday, January 6th. 

 

Some reminders regarding reservations as we go into the Spring Semester: 

  • Reservation requests are not guaranteed. Your reservation is not confirmed until you receive a confirmation email.  
  • You can check the status of your reservation at any time in Virtual EMS
    • Guides for navigating Virtual EMS can be found on the website: https://rochester.edu/college/wcsa/event-planning/reservations.html 
  • Any request for reservations for your organization must go through Virtual EMS. 

    • If you have questions or are having trouble locating a space, please connect with your advisor or stop by the Reservation Assistants at the Campus Information Center. 
  • You can submit your activity registration without a confirmed reservation – but you MUST provide the reservation ID. The reservation team will not approve your activity registration past the reservation step without an approved reservation, but you can submit the form to abide by the required activity registration timelines and policies. 

    • Refer to the Virtual EMS Guide to see how to view your reservation and find your reservation ID before receiving final approval. 
  • If you need to update your Virtual EMS contact, please submit the Change Virtual EMS Contact form on CCC. 
  • If at any point you are no longer going to use a reservation – Cancel it! 

    •  If you need support in canceling your reservation, please refer to the Virtual EMS Guide or reach out to us for support.  
  • Major Event requests for the Fall 2026 & Spring 2027 semesters will be opening shortly after spring break. Start talking with your E-board now to determine what request you would like to submit during the Major Event process.  

  • The reservation team is here to help! Their hours will be announced in the 1st Student Organization Insider of the semester and posted on the website at the beginning of the semester. Stop by if you have any questions.
